Our Policy
Academic Terms & Class Hours
Qilu Institute follows the traditional Chinese academic calendar, divided into two semesters per year. Each subject has one class per week, with a duration of 1.5 hours (special subjects may run 1–2 hours/week).
First Semester: Early September – Late January;
Second Semester: Early February – Late June;
Summer: July–August – Summer Camp Programs;
After-School Care: Offered from September to June.
Throughout the year, the school organizes major events such as holiday galas, ice skating, picnics, Easter egg hunts, and spring sports meets during Christmas, Chinese New Year, Easter, and end-of-year celebrations.
Tuition Discounts
Eligible students may receive tuition discounts under the following conditions (items 2–5 cannot be enjoyed at the same time):
- Registration within the official discount period
- Children of Qijia Group staff
- Children of Parent Council members
- Children from single-parent families
- Outstanding Parents or Children
Award Policies
- Medalists (Gold/Silver/Bronze) in major competitions (e.g., Waterloo Math Contest) will receive $150 / $100 / $50 respectively when enrolling in the corresponding subject. Students achieving 95% or higher in public school subjects will receive a one-time $30 award when enrolling in the same subject.
- Successful teacher referrals: $30 award
- Accepted improvement suggestions to the Institute: $30 award
- Current students referring new students: Referrer receives $30, new student receives $15
- Students transferring from another school (with proof of paid tuition) will receive $50 compensation for transfer losses
Payment & Registration
- All tuition must be paid before attending classes.
- Except for Summer Camps, tuition must be paid in full per semester or per academic year (no installment plans).
- Summer Camps are charged weekly. If daily payment is required, the daily fee = 1.5–2x the average daily rate.
- Payment methods: E-transfer, cheque, or cash (no card payments accepted).
- Cash payments: Registration fee ($30) waived and no TAX.
- Returned cheques: Additional $25 admin fee.
- Cheque Payee: Q-Learning Institute Inc.
Trial Classes
- One free trial lesson is available for all courses (except one-on-one tutoring). If the student does not enroll after the trial, no fee is charged. If enrolling, tuition will be counted from the trial class onward.
- Trial lessons must be booked one week in advance. Otherwise, prepayment and registration are required.
- Parents should provide learning needs in advance and encourage students to ask questions during class.
- After the trial, parents are encouraged to consult both teachers and the Parent Council for feedback.
Before Classes
- Each class has a set maximum size. If full, students may join the waiting list.
- Admission is based on the order of registration.
- To avoid delays, students are encouraged to start with 1-on-1 or 1-on-2 tutoring until placement, with tuition adjustments upon transfer to group class.
Class Adjustment
- Parents may request class transfers. Adjustments depend on class availability and teacher approval.
- If minimum class size is not reached, the school may cancel the class.
- If parents wish to continue despite low enrollment, the class length may be reduced to 1 hour with same tuition, or the class may be converted to 1-on-1 / 1-on-2 format with adjusted tuition.
- Students struggling in class may be reassigned after teacher-parent consultation.
Absent Policy
- To maintain continuity, absences should be avoided.
- Absence requests must be submitted 24 hours in advance (phone, email, or WeChat) along with a make-up request.
- Each student is entitled to two free make-up lessons per term. Beyond this, no make-up or refund is provided. Make-up classes must be scheduled within the same week.
- Friday absences must be made up before that Friday, since Saturday begins the next teaching cycle.
- Q-learning Institute reserves the right to adjust schedules in case of emergencies or force majeure.
Refund Policy
- Full refund with no fees if withdrawal occurs before classes start..
- Withdrawal after start but before halfway point: 50% tuition refund minus $50–$100 fee, regardless of attendance.
- Course cancellation due to low enrollment: full refund.
- No refund if more than half the course is completed..
- No refunds for weather-related cancellations or force majeure.
- Refund requests must be submitted in writing (email or online form). Oral requests are invalid.
- Students missing more than 2 classes per term: no refund and no additional make-ups.
Disclaimer
- Q-learning Institute is not responsible for loss, damage, or injury occurring on school premises (including incidents involving siblings or children outside of class time).
- Children under 12 must be escorted to their classroom and handed over to the teacher by a parent. Otherwise, parents assume all responsibility.
- Q-learning Institute reserves the right to use photos/videos taken during school activities (on- or off-campus) without requiring additional consent.
- As a registered Canadian educational institution, Q-learning Institute may store personal information (phone, email, WeChat, ID, etc.) for class arrangements, payments, and emergencies.
- Parents/students wishing to opt out of school communications after withdrawal must submit a written request; processing time: 2 business days.
- Enrollment automatically constitutes agreement to all school policies and regulations.
- In case of conflict between English and Chinese versions or promotional materials, the official Q-learning Institute website shall prevail.
- Any issues not covered herein will be resolved by mutual consultation between parents and the school.
